Managing your farm's finances efficiently means streamlining tasks like recording payments and updating transactions. FarmRaise Tracks makes it easy by automatically adding a transaction when you mark an invoice as paid. Follow these steps to ensure your paid invoices are accurately reflected in your transaction records.

Step 1: Log Into FarmRaise Tracks

Start by logging into your FarmRaise Tracks account using your username and password.

Step 2: Navigate to the Invoices Section

Once logged in, head to the Invoices section. Here's how to find it:

  1. From the Dashboard, locate the Invoices tab on the left-hand menu.

  2. Click on Invoices to see a list of all your outstanding, partially paid, or paid invoices.

Step 3: Mark an Invoice as Paid

To mark an invoice as paid, follow these steps:

  1. Find the invoice you want to mark as paid from your list of open invoices.

  2. Click on the invoice to open the details.

  3. Inside the invoice, click on the drop-down and select Paid.

  4. Once clicked, you will be asked if you want to create a transaction, you need to toggle the button on and then press Save.

Step 4: Automatic Transaction Creation

After marking the invoice as paid and pressing Save, FarmRaise Tracks will automatically take you to edit the transaction details.

  • All you have to do is add the Account and Product (optional)

  • FarmRaise Tracks will automatically:

    • Reflect the details of the payment, including the amount, date, and category (Agricultural Sales)

    • Link the transaction to the corresponding invoice for easy tracking.

    • Record the payment under your Transactions section after you press Add Transaction after adding the account.

Step 5: Verify the Transaction

To verify that the transaction has been added:

  1. Navigate to the Transactions section from the left-hand menu.

  2. Look for the transaction related to the invoice you just marked as paid and added the account to. You should see the amount, date, and customer name matching the invoice payment.

Additional Tips:

  • Stay Organized: FarmRaise Tracks automatically links your invoices and transactions, making it easy to track income and expenses without manual entries.

  • Export Data: You can export your transactions for further analysis or for tax preparation by using the Export option within the Transactions section.

By following these steps, you ensure that marking invoices as paid in FarmRaise Tracks will automatically add the corresponding transactions to your financial records. This saves you time and keeps your bookkeeping accurate and up to date.
