To ensure a smooth and accurate transition to FarmRaise Payroll, we’ll need a specific set of payroll reports from your previous provider. These reports help us verify your year-to-date (YTD) payroll data and keep your tax filings compliant.


✅ What Reports Are Required

📅 Quarterly Reports (Closed Quarters Only)

For each completed quarter of the current calendar year, we need a quarterly payroll report that includes:

  • Year-to-date (YTD) amounts as of the end of that quarter

  • Breakdown by worker and wage type

  • Employer and employee taxes

  • Deductions and contributions

For example: If you’re migrating in Q3 and Q1 and Q2 are already completed, please send a YTD report as of the end of Q1 and as of the end of Q2.

📆 Payroll Run Reports (Current Quarter Only)

If you’re onboarding in the middle of a quarter, we also need a report for each payroll run that has occurred in the current quarter.

Include:

  • Each payroll run’s check date

  • The associated pay period

  • Payment details, tax breakdowns, and contributions

Example:
If your first payroll with FarmRaise is on 8/30 and you had payrolls on 7/15, 7/31, and 8/15, send:

  • A separate report for 7/15, 7/31, and 8/15

  • YTD reports as of the end of Q1 and Q2


👥 Worker Types & Required Data

W-2 Employees

Provide reports showing:

  • Wages broken down by type (hourly, salary, commission, etc.)

  • Employee taxes and employer taxes, broken down by type

    ⚠️ Note: Pay stubs may not include employer taxes, so full reports are preferred

  • Deductions broken down by type (e.g., health insurance, retirement)

  • Employer contributions broken down by type

  • Pay period for each check date

  • A YTD report for all payrolls run in the current year

Format: Download as Excel, CSV, or PDF (CSV preferred when available)

1099 Contractors

Provide reports showing:

  • Check dates and their pay periods

  • Payment amounts, broken down by type (services, tips, commissions, etc.)

Format: Download as Excel, CSV, or PDF


📤 How to Submit Reports

Once you’ve generated your reports:

  1. Download the report files:

    • Use “Export to Excel” or “View in Excel” under the Share menu

    • Or export as CSV or PDF if Excel is not available

  2. Submit your files:

    If you upload to the Document Center, make sure to also email [email protected] to let us know you’ve uploaded your reports. Otherwise, we may not see them right away.
