Farmers and ranchers often need to set up clear payroll systems to manage payments for workers across different roles and schedules. Pay groups in FarmRaise Payroll make it easy to organize your payroll, keep track of pay dates, and ensure your workers are compensated consistently.

Here's a simple guide to help you understand how to set up and manage pay groups:


What Are Pay Groups?

  • Pay groups allow you to categorize employees based on how frequently they’re paid.

  • You can set up pay groups according to various payment schedules, such as:

    • Weekly

    • Every other week

    • Twice a month

    • Monthly

  • Setting up pay groups helps you automate payroll and keep track of different workers’ schedules.

Setting Up Pay Groups

  1. Access Payroll Settings

    • Go to the top menu in Payroll.

    • Select Edit Employer Info on the left-hand side.

    • Click on Pay Groups to start managing your payroll schedules.

  2. Choose or Set Up Your Default Pay Group

    • Your default pay group is the primary schedule most workers will follow.

    • You can edit the default pay group to:

      • Change the payday.

      • Adjust the default pay group status.

      • Update which workers are included in this pay group.

  3. Adding New Pay Groups

    • You can create additional pay groups to meet different payroll needs.

    • To add a pay group:

      • Choose a name (e.g., "Weekly Pay Group").

      • Select the frequency—weekly, biweekly, twice a month, or monthly.

      • Set the first payday and define the end of the pay period.

      • Assign employees to this specific pay group.

  4. Important Reminders When Setting Pay Dates

    • For direct deposits, make sure to allow for a four-day lead time to ensure timely payments.

    • Adjust pay dates as needed:

      • If a payday lands on a holiday or a non-banking day, you’ll need to select a different date.

      • You may need to remove workers from their current pay group if you reassign them to a new one.

  5. Save Your Pay Group Settings

    • Once you’ve set up or adjusted a pay group, remember to save your changes.

    • If a worker is already assigned to another pay group, you’ll need to update their schedule to avoid overlapping pay groups.
